Terms & Conditions – MIDTERM ROSACON 2026

These Terms & Conditions govern your use of the official MIDTERM ROSACON 2026 website and all related services including conference registration, accommodation booking, workshop registration, abstract submission, sponsorship, exhibition participation, online payments, and conference attendance.

By accessing or using this website, you agree to be legally bound by these Terms & Conditions.

1. Definitions

"User" / "You" refers to any delegate, faculty member, speaker, sponsor, exhibitor, attendee, or website visitor.

"Organizers" / "We" / "Us" refers to the Organizing Committee of MIDTERM ROSACON 2026 and Ranthambore Orthopaedic Society Sawai Madhopur.

"Conference" refers to MIDTERM ROSACON 2026, scheduled to be held on 19th–20th September 2026 at Regenta Resort Vanya Mahal, Sawai Madhopur, Rajasthan, India.

2. Acceptance of Terms

By:

  • Registering for MIDTERM ROSACON 2026
  • Making any payment through the website
  • Booking accommodation
  • Submitting scientific abstracts
  • Registering for workshops
  • Using any service available on the website

You confirm that:

  • You have read and accepted these Terms & Conditions.
  • You agree to comply with all conference policies.
  • You are legally capable of entering into a binding agreement.

If you do not agree with these Terms, please do not use this website.

3. Registration & Payment

  • Registration will be considered confirmed only after successful payment and issuance of registration confirmation.
  • Registration fees are non-transferable unless specifically approved by the Organizing Committee.
  • Delegates are responsible for providing accurate information during registration.
  • Incorrect or misleading information may result in cancellation of registration without refund.
  • All payments are processed through secure third-party payment gateways.

4. Cancellation & Refund Policy

  • Cancellation requests must be submitted through the official conference email.
  • Refund requests shall be processed according to the published conference refund policy.
  • Processing charges, bank charges, and payment gateway charges may be deducted from the refundable amount.
  • Refunds, where applicable, may take 7–14 working days after approval.
  • No refunds may be granted after the final cancellation deadline announced by the Organizing Committee.

5. Accommodation Bookings

  • Accommodation requests are subject to room availability and confirmation by the Organizing Committee.
  • Hotel allocation may be modified due to operational requirements.
  • The Organizing Committee shall not be responsible for delays, cancellations, or service issues caused by hotels or third-party vendors.

6. Abstract Submission & Scientific Content

  • All submitted abstracts must represent original work.
  • The Scientific Committee reserves the right to accept, reject, modify, or reassign abstracts to appropriate sessions.
  • Plagiarism, fabricated data, unethical research practices, or copyright violations may result in immediate rejection or disqualification.

7. Sponsorship & Exhibition

  • Sponsorship and exhibition participation shall be subject to approval by the Organizing Committee.
  • Sponsors and exhibitors must comply with venue regulations and conference policies.
  • The Organizing Committee reserves the right to refuse or cancel participation if deemed necessary.

8. Use of Website

  • Attempt unauthorized access to the website or its systems.
  • Upload malicious software, viruses, or harmful content.
  • Misuse website services or interfere with normal operations.
  • Engage in fraudulent payment activities.

9. Intellectual Property Rights

All content available on the website, including logos, conference branding, graphics, text, documents, presentations, and promotional material, is the property of MIDTERM ROSACON 2026 and/or its respective owners.

10. Photography, Video Recording & Media Usage

The Organizing Committee may photograph, record, livestream, or otherwise document conference activities.

By registering for the conference, participants grant permission for the use of their photographs, video recordings, and event participation images for scientific, educational, promotional, reporting, and archival purposes without additional compensation.

11. Privacy

Personal information collected through the website shall be handled in accordance with the official Privacy Policy of MIDTERM ROSACON 2026.

12. Limitation of Liability

MIDTERM ROSACON 2026, Ranthambore Orthopaedic Society Sawai Madhopur, the Organizing Committee, venue management, sponsors, and service providers shall not be liable for technical failures, travel disruptions, payment gateway issues, losses, damages, or errors caused by incorrect information submitted by users.

13. Force Majeure

The Organizing Committee shall not be held responsible for cancellation, postponement, modification, or interruption of the conference due to events beyond reasonable control, including natural disasters, pandemics, government restrictions, transportation disruptions, or other unforeseen circumstances.

14. Modification of Terms

The Organizing Committee reserves the right to modify, update, or revise these Terms & Conditions at any time without prior notice.

15. Termination

The Organizing Committee may suspend or terminate access to the website or conference services if these Terms are violated, fraudulent activity is detected, or any action adversely affects the conference.

16. Governing Law & Jurisdiction

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of India.

Any dispute arising out of or relating to the conference, website, registration, payment, sponsorship, accommodation, or participation shall be subject exclusively to the jurisdiction of the competent courts located in Sawai Madhopur, Rajasthan, India.
